Privacy Policy

1.    General


1.1    Business Central Incorporated is an incorporated society and membership association that provides a wide range of services to members and clients. Our recognised brands are Business Central, Wellington Chamber of Commerce, Export New Zealand, Porirua Chamber of Commerce, Central Export NZ, and Taiwan Business Council.

 

1.2    We are committed to protecting the personal information that we deal with. This Policy sets out how we collect, use, disclose, and protect personal information in the course of providing our services.

 

1.3    In this Policy, the following terms have the following meanings:

 

1.3.1    Business Central, we, us and our means Business Central Incorporated, its subsidiaries, and its brands.

 

1.3.2    Member means a Member of Business Central, its divisions, and brands.

 

1.3.3    Personal Information means information about an identifiable individual (as defined in the Privacy Act).

 

1.3.4    Policy means this Privacy Policy.

 

1.3.5    Privacy Act means the New Zealand Privacy Act 2020.

 

1.3.6    Websites means https://www.businesscentral.org.nz/, https://exportnz.org.nz/, https://www.nztaiwanbc.org.nz, https://www.poriruachamber.co.nz/.

 

1.3.7    You and your means the person accessing or using our Websites or services.

 

2.    Scope of This Policy

 

2.1    By providing us with Personal Information, using our Websites, becoming a Member, or otherwise corresponding with us, you acknowledge the collection of your Personal Information in accordance with this Policy.

 

2.2    This Policy should be read in conjunction with our Constitution, Member Terms and Conditions, and any other application forms, terms, or policies on our Websites or that are otherwise notified to you .


2.3    When dealing with Personal Information, we will comply with this Policy and the Privacy Act. If you are not located in New Zealand, then this Policy may not comply with the privacy regulations in your location. If you are located elsewhere and access our Websites, use our services, interact with us, or otherwise provide your Personal Information to us, you do so at your own risk, knowing that you are providing us with Personal Information which we will deal with in accordance with the Privacy Act.

 

2.4    This Policy does not limit or exclude any rights you may have under the Privacy Act.

 

3.    Collection of Personal Information

 

3.1    We will collect Personal Information as follows:

 

3.1.1    Websites: We will collect any Personal Information submitted through our Websites, including when you submit any forms to us via our Websites. This may include when you apply (on behalf of a business that you represent) to become a Member or you sign up to receive our newsletter.

3.1.2    Membership: We will collect Personal Information when you sign up for a business that you represent to become a Member. This may include (but is not limited to) your name, contact details (such as your email address and phone number), your position, and details about the business you are associated with.


3.1.3    Training courses and events: We will collect Personal Information when you sign up and/or attend a training course or event run by us. This may include (but is not limited to) your name, contact details (such as your email address and phone number), position, details of any business you are associated with, details of any dietary requirements you have, details on any access requirements that are relevant to the operation and safety of the course/event (for example, whether you are hearing or sight impaired, or have a physical disability), credit card details associated with the payment for the course or event, photographs taken at the course or event, and the results of surveys, quiz, and feedback forms.


3.1.4    Contact: We will collect Personal Information that you provide when you contact us. This may include Personal Information that you provide over the phone, over email, through corresponding or engaging with one of our social media accounts, or through any other means of communication.


3.1.5    Apps: When you download and use any apps that we operate (which may include the Business Central and Wellington Chamber of Commerce apps) we will collect Personal Information. This may include your name, email and membership number.


3.1.6    Automatic collection: We may automatically collect browsing data when you use or access our Websites through the use of pixels, tags, and other similar tracking technologies. We do not collect identifiable information about you through these technologies, but we may identify your device and track your movements through our Websites.

 

3.1.7    Indirect collection: In some situations, we may collect your Personal Information from a third party, and not directly from you. The third parties that we indirectly collect Personal Information from may include:

 

(i)    Eventbrite (see: https://www.eventbrite.com/), when you register for and/or purchase tickets to an event that we run;

 

(ii)    Mailchimp (see: https://mailchimp.com/), who provides marketing automation and email marketing tools;

(iii)    Member Suite Pro (see: https://www.membersuitepro.com/), who provides sales and marketing tools;

(iv)    Wix (see: https://www.wix.com/), who provides website hosting and form collection services; and

(v)    other software providers and social media platforms, that we use for online form building and promotional campaigns.


4.    How we Use Personal Information


4.1    We will only use Personal Information for the purpose for which it was collected, or for a directly related purpose (if it would be reasonably expected by you, or if we have obtained your consent). In most cases Personal Information will be used for the following purposes:

 

4.1.1    to enable a business that you represent to become a Member and to offer our membership benefits, including discounts, business support, and training services;

 

4.1.2    to operate, facilitate, and organise our training events and courses;


4.1.3    to communicate with you and undertake our business activities;

 

4.1.4    to provide and market our membership model and our services;

 

4.1.5    for statistical and analytical purposes;
 
4.1.6    to comply with our legal obligations and carry out our functions as an Incorporated Society;

 

4.1.7    to protect and/or enforce our legal rights and interests; and

 

4.1.8    for any other purpose authorised by you or the Privacy Act.

 

5.    Disclosure of Personal Information

 

5.1    We do not lend, sell, or trade Personal Information. In some situations, Personal Information may be disclosed by us to third parties in the course of our ordinary business activities.

 

5.2    These third parties may include service providers, partners, suppliers, or contractors who we do ordinary business with, such as:


5.2.1    organisations that we are partnered with to provide membership benefits, where you request that we connect you with these organisations;


5.2.2    providers of accounting, advertising, marketing, sales, membership management, email and mail service, and customer relationship management software, solutions and platforms;


5.2.3    those involved in the administration and delivery of our training courses and events, such as venue operators and training facilitators, and partners with whom we run events;


5.2.4    event registration and management platforms, including providers of engagement tools such as platforms used for polls, quizzes, assessments, and other interactive activities;


5.2.5    survey and feedback collection providers;


5.2.6    analytics and web hosting providers; and


5.2.7    other selected vendors used by us to carry out our business activities.


5.3    If you attend a training course or event, we may use and publish photographs that include you on our Websites, social media channels, and other platforms we operate, unless you have asked us not to do so.

 

6.    Storage and retention of Personal Information


6.1    We take the security of your Personal Information seriously.


6.2    We will only retain Personal Information for as long as is required for the purpose/s for which it may lawfully be used, or as required under the Incorporated Societies Act 2022.


7.    Access and Correction Requests


7.1    You have the right to access the Personal Information we hold about you, or ask that we correct this information if it contains errors, is out of date, incomplete, irrelevant or misleading.


7.2    To request access or correction of your Personal Information, please contact us on info@businesscentral.org.nz. Alternatively, you may be able to directly update some of your details through logging in as a member.


7.3    You also have the right to unsubscribe from mailing and distribution lists that you have previously signed up for. To exercise this right, please use the unsubscribe function in our emails, and update your email preferences by using the links in the footer of our emails.


8.    Mandatory Reporting of Notifiable Privacy Breaches


8.1    If Personal Information is involved in a privacy breach which we reasonably believe is notifiable or must be reported in accordance with the Privacy Act, we will inform the affected individual/s and report the Notifiable Privacy Breach to the New Zealand Office of the Privacy Commissioner.

 

9.    Changes to this Policy


9.1    We may, at our discretion, update or revise this Policy from time to time. Any changes we make to this Policy will be notified to you by publishing the updated policy on our Websites. If you are listed as the contact for a Member business, we may also email you. Any changes to this Policy will take effect 30 days from the date that we notify you.


9.2    We encourage you to periodically review this Policy or the latest information on privacy practices on our Websites and other platforms.
